Clubhouse Rental Agreement

Terms & Conditions

  1. The homeowner, who desires to use the Clubhouse, shall be a Hawthorne Place owner in good standing with the Association and over the age of 21 shall be referred to as the “RENTER”.
  2. RENTER agrees to pay HAWTHORNE PLACE, a payment of $50.00 in the form of cash, check, or money order payable to: Hawthorne Place Owners Association. The payment shall secure the terms/conditions of this agreement. The RENTER will pickup the key when they give the rental fee to the clubhouse volunteer. RENTER agrees that the violation(s) of TERMS set forth constitutes a breach of this Agreement, resulting in possible charges for damages.
  3. RENTER agrees to provide a $25.00 check or cash for a cleaning deposit which will be returned to RENTER upon inspection of the clubhouse and satisfactory inspection. 
  4. RENTER acknowledges upon the termination of this Agreement, the RENTER agrees to clean the clubhouse including bathrooms, kitchen area and floors and the premises shall be free of personal property. RENTER agrees to pay any additional costs for any additional cleaning required above the $25.00 cleaning deposit or to repair and/or replace any portion damaged by RENTER and/or invitees to the clubhouse. A written accounting of said charges shall be presented to RENTER. If payment is not made, legal action will be pursued.
  5. RENTER agrees to return said key to clubhouse volunteer within 24 hours after rental.
  6. RENTER agrees not to allow the use of any kind of smoking material (including cigarettes, vapes, etc.), No illegal drugs and/or weapons are allowed on the premises.
  7. RENTER agrees that all parking will be limited to street curbs, with no corner parking, and shall be in accordance with the City of Norman Ordinances.
  8. RENTER agrees not to not allow any loud noise or activity on the premises which might disturb the peace of homeowners, meaning NO DJ’s or live bands (unless given special approval).
  9. RENTER shall deposit all garbage into the City of Norman trash receptacle and shall be responsible for disposing of all trash that exceeds its capacity. All bathroom and kitchen trash containers are to be emptied. The blue recycle cart is for recycle material only, do not place trash in the recycle cart. If the green trash cart is full, it is your responsibility to haul the trash to another location.
  10. RENTER agrees that the Hawthorne Place Owners Association nor its Board members be liable for personal injury and/or personal property damage or loss by RENTER and/or invitees.
  11. RENTER agrees to use only HAWTHORNE PLACE approved adhesives (clear command strips). No tack or nails (nothing that will leave holes) and NO regular tape of any kind (nothing that could damage the paint or blinds).
  12. RENTER has to be on premises at all times.
  13. No commercial activity on the premises at any time. 
  14. When leaving clubhouse, RENTER agrees to leave all window blinds closed, leave bathroom doors locked, turn off all interior lights, and lock all doors and windows.
  15. When leaving clubhouse, RENTER ensures that the heat or A/C is on: 
    • For May through October A/C will be set to 85º
    • For October through April heat will be set to 60º
  16. RENTER is responsible for the following items that are present in the clubhouse. If any items are damaged or missing, the renter is responsible for the cost to replace the items:
    • 1 microwave oven
    • 1 popcorn machine
    • 1 mop and bucket
    • 1 broom and dustpan
    • 41 folding chairs
    • 6 long plastic tables – 96” x 30”
    • 3 long wooden tables – 96” x 30”
    • 3 plastic folding tables – 48” x 24”

 

This agreement shall be the terms and conditions under which Hawthorne Place Homeowners Association shall manage the use of the Association’s Clubhouse and common area located at 2616 Halifax Way, Norman, Oklahoma 73069.

The undersigned RENTER has read and shall comply with this agreement.
